COMPLETING A TIMESHEET

1.  In/Out Times ( optional ):

On the screen are fields for entering In and Out times. To     add additional rows in this section, select the Add IN/OUT Row link. To delete rows,     first check the box corresponding to the row to be deleted, then select the Del     Checked link. To enter your arrival time of 8:00AM on Monday morning in the 12- hour     HH:MM format, enter 08:00 following by an " a" for AM in the In box under the Mon     column. If your arrival time on Monday was 1:00 in the afternoon, enter 01:00     following by a " p"for PM. The colon (:) is necessary when entering your time in this     format. To enter your arrival time in the 24-hour format, simply enter 0800 for     morning, or 1300 for afternoon. Typing a colon (:), in this case, is not necessary.

 

2.  Charge Code Allocation ( required ):

Below the In/Out fields are fields for selecting  the charge code, pay type, organization code, and for entering the task number (if applicable). When recording hours worked for multiple tasks on a given day, select  the charge code of the task being worked, select the appropriate pay type,  organization code, and then click Add.


     a). Click on the Group ( Required ) field to display a list of valid groups. This list wil  vary depending on the group(s) to which you are assigned: Scroll through the list  to locate the appropriate group, and then click to enter the group selected.

     b). Click on the Charge Code ( Required ) field to display a list of valid charge codes.         This list will vary depending on the group to which you are assigned: Scroll through         the list to locate the appropriate charge code, then click to enter the charge code.         If your charge code is not listed, inform your lead/supervisor so that it can be         added in the system.

     c). After selecting the charge code, you will need to select a Pay Type ( Required ). If         there is only one choice in the drop down then by default, the single pay type is         already chosen. If multiple choices are available; then click on the Pay Type field to         display a list of valid pay types. This list may vary depending on your group or         organization: Scroll through the list until the correct pay type is located, then click         to enter the pay type. For example, if you are working regular hours (i.e., 8 hrs) on         a particular project, select Regular from the list.

     d). After selecting the pay type, you will need to select an Organization ( Required ).         If there is only one choice in the drop down then by default, the single org is         already chosen. If multiple choices are available; then click on the Org field to         display a list of valid organization numbers. Scroll through the list until the correct         organization number is located, and then click to enter the organization number.

     e). If a Task number ( Optional ) is required by your group/organization, click on the         Task # field to enter a task number. If there is only one choice in the drop down         then by default, the single task is already chosen. If multiple choices are available; then click to enter the task.

     f). Every time you enter the hours worked and any other additional information, you         must click the Save/Update link. Failure to do so will result in lost changes.

     g). At the end of the workweek, you are required to Submit your timesheet after ensuring that the hours and charge codes you have recorded are accurate. When the timesheet is submitted, your lead/supervisor will validate and sign your         timesheet so that it can be processed by payroll.

 

3.  Comments :

( Optional ): The Append Comments field is used for entering any     additional information to help clarify or support the activity conducted on the     timesheet.


4.  Activity Log : ( Automatic ):

The bottom section of the screen is the activity log that     displays the employee's username, what type of action was performed on the     timesheet, and on what day with a timestamp.
